Privacy Notice

1. Who we are

Job Pilot ("Job Pilot", "we", "us") provides the CV analysis, job matching and interview preparation service at getjobpilot.com. Job Pilot is the data controller for the personal data described in this notice. You can reach us at privacy@getjobpilot.com.

2. What we collect and why

• Account data (name, email address, login credentials) — to create and secure your account. Legal basis: performance of our contract with you.
• Profile and career data (desired role, industry, location, salary expectation, work style, skills, experience, education, certifications, projects and other answers you give during onboarding) — to match you with relevant jobs and tailor guidance. Legal basis: performance of our contract with you.
• Your CV and uploaded documents, including their contents — to analyse your CV, score applications and generate interview preparation. Legal basis: performance of our contract with you.
• Application and interview activity (saved jobs, application stages, notes, mock interview answers and scores) — to run the tracker and preparation features. Legal basis: performance of our contract with you.
• Support messages — to answer your questions. Legal basis: legitimate interests in supporting our users.
• Usage, device and log data (feature usage counts, IP address, browser and device identifiers) — for security, fraud and abuse prevention, fair-use limits, and improving the product. Legal basis: legitimate interests, and legal obligation where applicable.
• Marketing preferences — to send product updates where you have opted in. Legal basis: consent, which you can withdraw at any time.

A CV may contain information you consider sensitive. Please only upload what you are comfortable sharing — we process the CV you give us as-is in order to deliver the service you have asked for.

3. Who we share it with

• Service providers and subprocessors that host our infrastructure and database, provide authentication, and power the AI analysis and matching features, acting on our instructions.
• Stripe, our payment processor, for sale of subscriptions, payments, subscription management, invoicing and tax compliance.
• Professional advisers such as legal and accounting advisers, where necessary.
• Authorities or third parties where we are required to do so by law, or to establish, exercise or defend legal claims.

We do not sell your personal data, and we do not send your CV to employers without your action.

4. International transfers

Some of our providers process data outside the UK and EEA. Where that happens, we rely on appropriate safeguards such as UK/EU Standard Contractual Clauses or an adequacy decision covering the destination country.

5. How long we keep it

We keep your account, profile and CV data for as long as your account is active. If you delete your account, we delete or anonymise your personal data within 30 days, except where we must keep records longer for legal, tax or accounting reasons (billing records are typically retained for up to seven years). Security and audit logs are kept for a limited period and then deleted.

6. Your rights

Depending on where you live, you have the right to access your data, have it corrected or erased, restrict or object to processing, receive a copy in a portable format, and withdraw consent where processing is based on consent. To exercise these rights, email privacy@getjobpilot.com and we will respond within one month. If you are in the UK or EEA and are unhappy with our response, you may complain to your supervisory authority — in the UK, the Information Commissioner's Office (ico.org.uk).

7. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, encrypted storage, private CV file storage, row-level access controls that restrict records to the account that owns them, and least-privilege access for our systems. No service can be completely secure, so please use a strong, unique password.

8. Cookies and similar technologies

We use essential cookies and local browser storage to keep you signed in, remember your preferences and keep the service secure — these are required for Job Pilot to work. Where we use analytics or marketing cookies, we ask for your consent first, and you can change your mind at any time through your browser settings or by contacting us.

9. Changes

We may update this notice from time to time. We will post the new version here and, where changes are material, notify you in the app or by email.
